LookBoat Inbox Privacy Notice

Last updated: 2 October 2026

This notice explains how LookBoat Inbox, our staff-only brokerage CRM, processes information from our connected company Google account and related customer conversations. The general LookBoat website policy covers other website activity.

Controller and contact

LookBoat E.E., VAT 803065743, GEMI 188560749000, Eth. Antistasis 93, Preveza 48100, Greece, operates LookBoat Inbox. For questions or requests about personal data, contact [email protected].

Information in the CRM

The CRM may contain names, email addresses, phone numbers, message subjects and bodies, attachments, conversation history, boat enquiries, offers, viewing arrangements, follow-up notes and related transaction information. It also stores information needed to connect the LookBoat Google account, including authorization tokens. Information comes from messages sent to us, the connected company mailbox and calendar, website enquiries and other channels connected to the CRM.

Google account permissions and use

After the owner of the company Google account authorizes access, LookBoat Inbox uses Gmail read-only permission to import and display relevant mailbox messages and their attachments, Gmail send permission to send replies from the mailbox, and Google Calendar events permission to list, create and manage boat-viewing events. The CRM links messages to contacts and boats, makes conversations available to authorized staff, and keeps a record of replies and viewings. Replies may be sent by staff or by automation configured within the CRM. We do not sell Google user data or use it for advertising. Our use of information received from Google Workspace APIs follows the Google Workspace API User Data and Developer Policy, including its Limited Use requirements.

AI-assisted work

To classify enquiries and prepare suggested replies, LookBoat Inbox may send relevant message text and boat information to the OpenAI API. Authorized staff can review or edit drafts; configured automation may use approved response rules. Staff-approved replies may inform future suggestions within LookBoat Inbox. Information received from Google Workspace APIs is not used to develop, improve or train generalized AI or machine-learning models. OpenAI states that API inputs and outputs are not used to train its models by default unless the customer opts in.

Why we process information

We process this information to respond to enquiries, provide brokerage services, arrange viewings, prepare transaction documents, maintain customer relationships and keep necessary business records. Depending on the circumstances, the legal basis is taking steps requested before a contract, performing a contract, our legitimate interest in handling enquiries and operating our brokerage, or a legal obligation.

Storage and recipients

Imported information is stored in the LookBoat CRM on a server hosted by Inferno Solutions in the Netherlands. Authorized LookBoat staff can access it. We use OpenAI as a service provider for the AI-assisted functions described above. We may disclose relevant information to buyers, sellers and other transaction participants when needed to answer an enquiry or arrange a transaction. Google continues to process the original mailbox and calendar data under its own terms.

Retention and deletion

CRM records are kept while needed to handle an enquiry, manage a transaction or meet applicable record-keeping obligations. There is currently no automatic time-based deletion of CRM conversations; authorized staff remove records manually when they are no longer needed or when a valid deletion request is fulfilled. Deleting a CRM record does not automatically delete the original message from Gmail, and disconnecting Google access does not automatically erase previously imported CRM records.

Your rights and choices

You may contact us to request access to, correction of or deletion of personal information about you, or to object to processing where applicable. We will assess the request under applicable law, including any obligation to keep transaction records. The owner of the connected Google account can revoke LookBoat Inbox access through Google Account permissions. That stops new access until the account is reconnected.

Updates

We will update this notice if our use of Google data or CRM service providers changes. The current version will remain available on this page. Contact [email protected] with questions.
